Sales Coordinator

Remuneration:R12000 - R15000 per month negotiable basic salary

We are a down-to-earth, women-led and local small business who manufacture guest amenities for the hospitality industry. 

The position currently available to help co-rdinate all of our sales activities from receipt of customer queries and orders through to dispatch and eventually ensuring that the order has reached the customer and they are happy.

The position requires you to work and manage our orders and CRM system and work alongside out amazing team. 

Primary responsibilities:
  • Receive and review incoming sales orders, verifying accuracy and completeness of order details, pricing and customer information.
  • Enter sales orders into the company's order management system accurately and promptly.
  • Coordinate with relevant people to resolve any order-related inquiries or discrepancies.
  • Liaise with production to ensure the availability of products and set realistic delivery timelines.
  • Monitor order status and update customers on order progress, including any delays or changes.
  • Generate shipping labels, packing slips and other necessary documentation for order fulfillment.
  • Collaborate with dispatch and the warehouse to ensure the accurate picking, packing, and shipping of orders.
  • Coordinate with shipping partners to arrange deliveries and track orders until successful delivery.
  • Process returns and exchanges, ensuring proper documentation and inventory updates.
  • Generate order processing reports.
  • Continuously identify process improvements and implement best practices to enhance the efficiency of order processing operations.
  • Handle escalated customer issues related to order status and delivery, providing exceptional service to resolve concerns.
  • Stay informed about product knowledge, pricing and company policies to address customer inquiries effectively.
  • Follow up with clients regarding future orders, order reminders and order forecasting.
Additional responsibilities: 
  • Assist in answering phones, incoming emails and walk in customers with their queries and orders. 
  • Assist in keeping the office organised and running efficiently.
Requirements:
  • High school diploma or equivalent. Additional education is advantageous.
  • Experience in sales order processing or related roles and working in an office environment. 
  • Proficiency in using online programs, Google and office software (e.g., Microsoft Excel, Word).
  • Excellent organisational skills with the ability to prioritise tasks and meet deadlines.
  • Strong attention to detail and accuracy in data entry and order processing.
  • Effective communication skills to collaborate with various teams and communicate order status to customers. Afrikaans is advantageous. 
  • Problem-solving abilities to resolve order-related issues and address customer concerns.
  • Ability to work independently and in a team-oriented environment.
  • Flexibility to adapt to changing priorities and handle a high volume of orders during peak seasons October - December.
